Open Position Description
Title: Province V Coordinator
Reports to: President of Province V (Accountable to Executive Board)
Classification: Exempt
Status: Part time - 15 hours per week
A. Summary of Position
Working remotely, The Province Five Coordinator serves as the compensated staff person for the Province of the Midwest (Province V) of the Episcopal Church. The Coordinator offers administrative support to the Executive Committee, bishops and Program chairs in executing their provincial roles. The Coordinator is the conduit for communication, administrative support and meeting planning for provincial events.
B. Duties and Responsibilities
1. Administrative support
a. Maintain working relationships with all Bishops in the Province and members of the Province
b. Archive Provincial records; provide a regular contact and address for the Province; prepare updates for the Church Annual
c. Respond to written and telephone inquiries about the Province and its grants and programs
d. Assist Executive Board with collaboration with Provincial Unit Chairs
e. Disseminate information about and coordinate applications for provincial grants. Make contact with applicants as necessary; forward information to Executive Committee
f. Collaborate with Province V Treasurer to collect annual diocesan assessments and payments for provincial programs; monitor grant disbursements
g. Assist the Province V president with follow up as requested
2. Liaison for the Wider Church
a. Serve as Provincial liaison to the Episcopal Church and attends the annual Provincial Leadership Conference
b. Develop and maintain working relationships with all the Program/Provincial Coordinators of the other 8 provinces. Participate in monthly Coordinator’s phone conferences
c. Prepare and distribute Funding Accounting Reports to the Episcopal Church (church center), prepare and distribute the Annual Provincial Coordinator’s Report to the Synod, the Provincial Leadership Conference, and the Episcopal Church (church center)
3. Meeting Planning/Arrangements
a. Manage and oversee all aspects of meeting planning (site selections, contracts, logistics, meal planning, registration, preparation of packets and name tags, invoice reconciliation etc.) for the following events:
i. Province V Synod Meeting (Every 3 years)
ii. Executive Committee meeting (annually)
iii. Province V House of Bishop’s meeting (annually)
4. Communication
a. Maintain the Province’s membership database to include congregational listings from all dioceses; maintain database of Province members serving as General Convention Deputies, Triennial Delegates, Synod Delegates and attendees of Synod Meeting
b. Keep constituents informed of pertinent information via electronic media
c. Update and maintain a Province website and social media presence. Edit and disseminate the Convene e-newsletter on a monthly basis as well as occasional Executive Board newsletters and email communications
d. Connect with Executive Board members on a monthly basis to track projects and to monitor follow up on tasks and committee assignments
C. Skills, Knowledge and Abilities
1. Familiarity and experience within Episcopal Church and advanced understanding of its organization, structures and polity is required
2. At least five years of administrative experience, including use of Microsoft Office (Word, Excel, Powerpoint, Publisher and Access)
3. Ability to write and edit well and to communicate in American Standard English
4. Experience in the use of print, electronic, and digital/social media
5. Event and meeting planning skills preferred
D. Additional Requirements
1. Must be able to adjust personal schedule to accommodate after hours and weekend meetings
2. Ability to travel to and attend meetings at locations throughout the Province
3. Must reside within the geographic region of Province V
