Status: Part-time (approximately 20 hours) Salary: $21,000 annual ($20 an hour) FLSA: Non-exempt
Job Summary
The Office Administrator supports the mission and ministry of St. James by managing the day-to-day operations of the church, including regular communications and administrative systems.
Essential Functions:
Manage the church office and oversee building use
● Maintain office hours (10am-12pm, 1pm-3pm Monday-Thursday)
● Buzz visitors into the building.
● Coordinate and maintain the parish calendar.
● Maintain office supplies and office machines, including arranging repairs and service.
● Maintain a key log of those with access to the building.
● Coordinate and research vendors as necessary.
● Prepare and publish worship bulletins.
● Maintain bulletin boards and other signs in the physical space.
Other clerical support
● Enter approved vendor invoices into the accounting system for payment.
● Enter weekly deposits into the accounting system.
● Maintain accounting records and documentation in an orderly fashion.
● Administer the membership and donor database, and prepare related mailings.
● File diocesan, state, and federal documents as required.
● Provide administrative support to the rector and the vestry (board) including: preparing meeting
documents, making document copies, sending out mailings, and other duties as assigned. Qualifications & Skills:
● High school diploma required. Previous experience in office administration, bookkeeping, or church administration preferred.
● Proficiency with Microsoft Word is desirable.
● Strong organizational and time management skills.
● Excellent verbal and written communication skills.
● Ability to maintain confidentiality and handle sensitive financial and personal information with
discretion.
● Self-motivated and able to work independently while collaborating with clergy, staff, and
volunteers.
Work Environment:
● This position requires in-person, regular office hours. However, those hours may be adjusted as needed with coordination.
