Parish Administrator - St. James, Wooster

Parish Administrator Position Overview

The Parish Administrator is the primary coordinator of the administrative functions of St. James Episcopal Church. Working closely with the Rector, staff, parish leadership and volunteers, the Parish Administrator helps ensure the friendly and efficient organizational functioning of the day-to-day operations of the church.

This position requires a gracious and personable presence with attention to detail, strong organizational ability, and excellent communication skills. The Parish Administrator serves as an important point of connection for parishioners, visitors, vendors, staff members, and members of the wider community. The Parish Administrator reports directly to the Rector. This is a part-time position consisting of 12-15 hours per week with a starting hourly rate of $18 per hour.

KEY RESPONSIBILITIES OF THE PARISH ADMINISTRATOR:

Office Management

  • Manage office operations; answer phone calls, emails, and visitor inquiries.
  • Maintain church calendars and manage facility scheduling.
  • Order office supplies, maintain equipment, and manage vendor relationships.
  • Maintain efficient paper and digital filing systems.
  • Participate in staff meetings working closely with Rector and Music Director.
  • Provide general administrative support to the Rector, vestry, staff, and volunteers.
  • Schedule volunteers.

Facility and Logistics

  • Distribute church keys and maintain key records.
  • Receive maintenance requests and coordinate building maintenance with the Building and Grounds Committee and Junior Warden.
  • Assist Rector with scheduling safety inspections and help ensure all licenses (columbarium, elevator, BWC etc.) and certifications remain up to date.

Communication and Media

  • Create printed documents including, but not limited to:

- Seasonal worship booklets

- Weekly announcements, music permissions slide, and prayer sheet

- Flyers, signs, and other print/digital communications as needed

- Signup sheets

  • Maintain all digital media communication in cooperation with Rector:

- Email communications including weekly email newsletter.

- Church website and Facebook page.

Financial and Recordkeeping

  • Collate bills and credit card statements for approval by Rector.
  • Have checks signed by approved signers and mail check payments to vendors.
  • Process recurring EFT payments.
  • Process bi-weekly payroll and maintain personnel files.
  • Make occasional bank deposits and get new signature cards made annually.
  • Compile and print the Annual Report Booklet for the Annual Meeting each January.
  • Assist the Rector with the completion of the annual Parochial Report.
  • Maintain parish records, membership information, and diocesan documentation with a high degree of accuracy.

Qualifications

  • High school diploma required; college degree in business, administration, or a related field preferred.
  • Administrative or office management experience preferred.
  • Strong skills in Microsoft Office and website administration. Ability to learn Canva, Realm Membership, and other software as needed.
  • Strong organizational skills.
  • Excellent written, verbal, and interpersonal communication skills.
  • Ability to handle sensitive information with complete confidentiality.
  • Ability to be flexible; planning, organizing and completing assignments with a minimum of direction.
  • Respect for the mission statement of St. James Episcopal Church.
